Our Federal Government client is seeking to engage an APS4 Executive Assistant on a contract for 6 Months, with potential extensions of 2 months.

Duties & Responsibilities:

  • Perform 'front of office' support functions, including greeting visitors and receiving and responding to phone calls, emails and general correspondence.
  • Deliver executive support including managing the appointment diary and meeting arrangements of the Senior Executive Service Officer.
  • Identify issues, taking responsibility for gaining a clear understanding by listening and asking clarifying questions to others and applying common sense.
  • Utilise the information available to prepare briefing packs, reports and papers for senior committees.
  • Build and sustain relationships in order to work collaboratively within the work area and other areas of client.
  • Liaise with stakeholders and visitors of all levels, building good working relationships and providing a point of contact for assistance and general enquiries.
  • Display initiative and apply sound judgment in providing executive and administrative assistance to senior executives.
  • Evaluate changes and use common sense to solve problems that may be challenging yet broadly similar to previous situations and research solutions.
  • Arrange, coordinate and reconcile all aspects of domestic and international travel in line with Defence travel policy for Senior Executive Service Officers.
  • Assist with providing finance support in line with Chief Executive Instructions.
  • Maintain records management systems in line with policies and procedures.

Mandatory Requirements:

  • The successful candidate will be required to have Baseline clearance.
  • Intermediate to advanced level MS Word, Excel and PowerPoint skills
  • Experience in booking travel (e.g. using QBT/AOT)
  • Interpersonal, communication and collaboration skills to build and maintain good working relationships within the branch/division and other areas of client
