Our Federal Government client is seeking to engage a Executive Assistant on a contract for 6 months.

Position Overview

The Executive Assistant manages the smooth operation of the Executive Unit including the Executive's schedule, maintaining efficient and effective office systems and demonstrating high quality customer service. The position also provides a coordination function to the Branch, regularly communicating with the Executive Group Manager's area, to coordinate corporate reporting and ministerial responses ensuring a high level of service and support is provided.


Under limited direction, undertake work required for the delivering the team's responsibilities and tasks which may include:

  • Be a contact for enquiries to the Executive Branch Manager, providing a range of high level administrative support functions including diary management, arranging and scheduling appointments and meetings, managing telephone calls, travel and accommodation arrangements and ensuring correspondence, emails and enquiries are dealt with promptly and efficiently.
  • Undertake high level coordination and support to the Executive Branch Manager including determining actions and priorities arising from emails and other directions. Also provide Secretariat support for meeting and general office management activities including stationery orders.
  • Monitor the workflow, approval process and quality assurance of documents by ensuring all correspondence is correctly formatted on the appropriate templates and provided within the established timelines. This will also include appropriate electronic filing and use of the HPE Content Manager (TRIM) to progress for external clearances.
  • Contribute generally as a member of the wider Executive Support Team and as required, provide co-ordination and administrative assistance to support the functions of the Senior Management team and the Group.
  • Manage confidential and sensitive information in accordance with the relevant legislative and policy principles including maintaining records in accordance with the Territory Records Act.
  • Understand and work within the ACTPS Code of Conduct and ACTPS values of respect, integrity, collaboration and innovation, and model behaviour consistent with the ACTPS Respect Equity and Diversity framework.
  • Undertake other duties appropriate to this level of classification which contribute to the operation of the section and organisation.
  • This position does not involve direct supervision of staff.


The following capabilities form the criteria that are required to perform the duties and responsibilities of the position.

Professional / Technical Skills and Knowledge

  • Experience in or ability to provide high level administrative and secretarial services to executives and management teams. This includes a high level of diplomacy and confidentiality.
  • Demonstrated high level skills in Microsoft Office software and electronic records management system (EDRMS/TRIM).
  • Sound interpersonal, oral and written communication skills, including the ability to work with people across different levels, to represent ACT Property Group in a range of situations and build productive relationships with a diverse range of stakeholders.
  • Strong organisational skills with a demonstrated ability to be a self-starter, be proactive, flexible and manage competing priorities while often working independently.
