Our Federal Government client is seeking to engage a Band 3 Executive Assistanton a contract for 6 months with potential extension.

About the Role:

The Band 3 Executive Assistant role may include:

  • Managing the diary of two SES Band 1 Managers, including scheduling appointments and meetings and printing papers;
  • Arrangement of conferences/workshops including venue booking, catering, other adhoc logistical tasks;
  • Monitoring phone calls and emails as the first point of contact for the office by demonstrating a high level of written and verbal communication skills;
  • Arranging travel, credit card acquittals and processing payments;
  • Managing the workload and correspondence of the SES Band 1 Managers;
  • Tracking and following up tasks within the portfolio;
  • Providing secretariat support for meetings when required; and
  • Maintaining effective working relationships with all Executive and support staff.

To succeed in this role you will need to have great people skills, the ability to anticipate the needs of senior executives and demonstrate flexibility, resilience and initiative.

The ideal candidate:

  • Is a self-starter and able to use initiative;
  • Enjoys helping people and can quickly develop effective relationships with members of the Executive and support staff;
  • Has well-developed organisational skills including the ability to manage competing priorities;
  • Has good judgement, integrity and discretion when dealing with confidential and sensitive business matters;
  • Has good communication skills and attention to detail;
  • Is proficient in the use of Microsoft Office applications including Word, Excel, Outlook and PowerPoint;
  • Has experience scheduling or managing calendars and bookings;
  • Can work autonomously as well as in a team; and
  • Is able to demonstrate and promote the department's core values.

Essential Requirements

  • A Negative Vetting 1 (Secret) security clearance or the ability to obtain one
  • Strong knowledge in Microsoft Office applications including Word, Excel, Outlook and PowerPoint.
