About the Team:

Participant Platforms and Process Improvement branch is responsible for creating processes to improve how participants interact with the Agency Scheme and supporting systems to deliver an improved participant experience.


About the role:

The EL1 Program Coordinator will be responsible for supporting the PMO Director with all aspects of the PMO. This includes updating the implementation plan and development of reports, liaising where required with the relevant stakeholders to provide timely updates on progress against the plan and associated reporting, as well as identifying areas for improvement.


Responsibilities may include but are not limited to:
  • Coordinate project activities and ensuring they are aligned with program goals and objectives
  • Facilitate communication and collaboration among program stakeholders, including project managers and team members, business leaders, and other stakeholders
  • Monitor and report on program status, risks, issues, and performance metrics
  • Participate in regular program reviews to ensure progress is on track and identifying opportunities for improvement
  • Maintain program documentation including regular updates to the Implementation plan and project status reporting as required
  • Support the development and implementation of program governance processes and procedures
  • Update Project Action & Risk Registers
  • Assist in the maintenance of systems for accurate and timely collection of data
  • Timely collation of accurate management reporting that satisfies all internal and client driven reporting needs as specified by the Program Manager
 
 
MANDATORY
  • Experience working in a similar role under Australian rules and regulations
  • Proven high quality, articulate stakeholder engagement skills and the ability to liaise with non-project staff in coaching and change management outcome.
  • Enthusiasm and proactive drive to continuously improve ways of working whilst keeping delivery on time at the forefront.
  • Pragmatic approach to ways of working and not a 1 size its all mindset
  • Excellent written and oral communication skills, and proficiency in the use of IT systems including Microsoft Office
  • Demonstrated commitment to ongoing professional development
  • Current Police Check, o ability to obtain one

Desirable skills to have for the role:

  • Ability to demonstrate the development of reporting at an executive level with excellent eye for detail.
  • Appreciation and acceptance of changing of priorities to meet the needs of the program (and its participants) –often the requirement to pivot.
  • At least competent across all standard PMO functions – with deep focus on reporting, risk and scheduling

  • Experience in building relationships both with internal and external stakeholders.
  • Ability to work within and across teams, the ability to adapt quickly to a changing environment
  • Ability to manage confidential and sensitive information.
  • Ability to prioritise and allocate tasks in an efficient manner while also maintaining high work standards and accuracy.
