Our Federal Government client is seeking to engage an APS6 Committee Administration Assistant on a contract for 5 months with potential extension 3 Months.

Position Overview

The Executive and Committee Secretariat Section sits within the Governance Branch. The Committee Administration Assistant is responsible for the day to day management of one, or more, Strategic Committees, including management of the Forward Work Program, agenda development and recording the outcomes of committee meetings. The Committee Administration Assistant uses effective organizational and administrative skills to support the governance processes of the agency's senior Committees and provides accurate and timely advice on policy and procedure for committee management in the agency.

Duties & Responsibilities:

  • Provide secretariat services to one or more Strategic Committees.
  • Attend committee meetings, comprehend strategic content and produce high quality meeting minutes.
  • Undertake coordination tasks and project work related to governance matters for the Group and Agency, as required.
  • Undertake organisation and logistics of meetings and attend as required.
  • Ongoing and timely support for the preparation of forward agendas, ensuring deadlines for papers are met.
  • Oversee the delivery of support services including assisting with the development of procedures to ensure an effective Secretariat function is maintained.
  • Build and maintain relationships with internal and external stakeholders, and provide leadership to the relevant team, including supervision of team members.

Skills & Experience:

  • Organisational skills - Manage Workload - proficiency in organising work, setting priorities and completing tasks within set timeframes.
  • IT proficiency - Software - proficiency in the relevant systems and databases
  • Communication - Verbal and written - proficiency in presenting complex information in plain English via well-structured reports and presentations.
  • Information management - Information sharing - proficiency in sharing and exchanging information and resources in an appropriate manner.
  • A calm, flexible and professional approach.
  • Ability to manage a small team and supervise staff.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline security clearance.
  • A current and continuing driver's license is required.
