Port Macquarie Hastings Council is seeking a professional and forward-thinking Business Support Coordinator with exceptional stakeholder engagement and communication skills, who will provide exemplary senior-level support to the office of the Director, Community , Planning and Environment.

This position is an integral role in the organisation and requires a person who can provide the highest level of professional, confidential, and efficient personal assistance and business support service to the Division with an emphasis on delivery of quality customer service. You will have exceptional organisation skills, the ability to triage the flow of information, while managing your time and workflow priorities effectively. Confident in your approach, you will act with a high level of professionalism and discretion, building strong relationships across the business.
Your adaptive communication style to ensure an open and friendly manner to all levels within the organisation, will be highly attractive to this position. You will have the ability to professionally manage scheduling conflicts and recommend appropriate solutions.

The successful applicant will have outstanding personal attributes including personal drive and integrity and possess a minimum Certificate IV in business administration or related field recent experience working with and supporting Senior Executives and business functions in a similar role as well as.

On a typical day, this role will
- Prepare and coordinate business papers, reports, and correspondence on behalf of the Director, Group Managers, and broader division
- Act as coordinator and main point of contact for the business functions of the directorate
- Process invoices, expense claims and reconciliations for payment
- Liaise with a diverse range of stakeholders, internally and externally
- Receive, triage, and respond to queries taking responsibility for follow up actions
- Coordinate meetings, including sending invitations, monitoring responses, arranging agendas, catering and tech/laptop set up
- Work alongside the Director and Group Managers to design and deliver high quality reports within the appropriate timeframes
- Monitor and report on budgets
- Identify opportunities for system and process improvements
- Provide supervision, guidance, and support to divisional administration officers

- Advanced written communication, word processing, document presentation and design skills
- Demonstrated ability to build strong partnerships with the community, government, internal stakeholders, and staff
- Strong organisational, time and business system management skills
- Demonstrated experience in analysing data and producing reports to support data-based decision making
- A demonstrated commitment to continuous process improvements and delivering quality customer service
- Experience Managing people / coordinating teams - indirect management
- Natural problem solver
