The Opportunity

Chandler Macleod is looking to engage a Business Support & Events Coordinator for a contract term of 6 months with a well-established NSW Government department. This role will be based in Sydney.

Job Specification

In this position, you will be required to perform but are not limited to the following tasks:

  • Lead the coordination and delivery of the Agency's internal and staff events by providing operational support for the Agency's large events including guest-list and registration management, theming support and design, supplier sourcing and coordination and database management.
  • Work collaboratively as part of the broader Agency's team and undertake a range of coordination and logistical activities to support the delivery of events (on-site and off-site)
  • Coordinate and monitor the events program to ensure that internal and external stakeholders are effectively engaged and the program objectives are achieved.
  • Maintain effective liaison with key stakeholders and colleagues to publicise and promote the events program and to seek their support and involvement.
  • Establish, monitor and evaluate and delivery of the team's support practices, office systems and processes to ensure they meet policy and other standards and facilitate the delivery of quality services to internal and external stakeholders.
  • Coordinate team support systems to ensure an appropriate level of quality support is available to for effective operations.
  • Provide operational and administrative support to BAU activities and projects as specified to ensure they are effectively supported.
  • Work collaboratively with other support staff from across the organisation to ensure effective coordination of activity across the team.
  • Facilitate the efficient flow of information to and from team members by exercising discretion, initiative and confidentiality in responding to and referring matters to and on behalf of the team.
  • Develop appropriate systems, procedures and controls to assist the team to monitor and manage business and project activities, including managing and maintaining records, databases, and collaboration tools, complying with administrative systems and processes, to ensure that all information is accurate, stored correctly and accessible.
  • Develop and maintain relationships with key stakeholders to effectively facilitate team activities.
  • Respond to enquiries, and escalate and redirect issues as required, to ensure the provision of accurate information.
  • Coordinate follow up action for the Group Executive using discretion, initiative and confidentiality to enable highly sensitive matters to be dealt with appropriately.
  • Proactive management of the Group Executive's and his/her leadership team's diaries as required by the Group Executive, screening requests for appointments from internal and external sources, negotiating appointment times and resolving diary clashes to ensure that matters of an urgent or sensitive nature are given priority and make optimal use of the Group Executive's time.
  • Provide administrative and coordination support for events and meetings including logistics related to venue and equipment management, catering, distribution of papers, liaising with internal and external parties.
  • Draft and prepare correspondence, agendas, minutes and briefing notes for the Group Executive, and other key forums as required.
  • Coordinate administrative support activities such as; mail, travel bookings, purchasing, payment of invoices, corporate accounts and training. Monitor work priorities and regulate adjustments to workflow as required.

About You

To be successful in this position, you will need to have experience in the following:

  • Tertiary level qualifications in a relevant event, marketing or business discipline or equivalent experience.
  • Proven ability to provide coordination and administration support for professional events in a government or large not for profit environment.
  • Proficient in Microsoft suite of products including Outlook, Word, Excel and PowerPoint, Sharepoint and Teams.
  • Experience using cvent or similar event management software.
