Our Federal Government client is seeking to engage in a APS6 Senior Secretariat Officer and a APS5 Secretariat Officer person for a 6-month assignment with potential extension in ADELAIDE AIRPORT or MURRY BRIDGE.

The Secretariat and Government Relations team provides strategic advice, secretariat services and logistical support to the Portfolio, high-level committees established under the Federal government client act.
We are seeking experienced administrative professionals and skilled communicators with the flexibility, motivation and desire to make a difference with their strong organisational and coordination skills.

APS6 Senior Secretariat Officer

Duties: 
  • Provide secretarial support as required to the Murray-Darling Basin Authority, Murray-Darling Basin Ministerial Council, and the Basin Officials Committee and its sub-committees. This includes preparation of agendas and meeting papers, drafting minutes and liaison and support for committee members. 
  • Actively manage stakeholders through liaison with committee Chairs and members, state contact officers, the Department of Climate Change, Energy, the Environment and Water and MDBA staff. 
  • Provide legislative and operational policy advice to the Chief Executive and MDBA executive team to support the MDBA’s strategic outcomes. 
  • Manage and report on key performance indicators and advise the Director on budget matters associated with a team as part of expenditure review and planning. 
 
Capabilities: 
  • Experience in a committee management role, including the organisation of high-level committee meetings; drafting, editing, and analysing formal documents as part of quality assurance processes. 
  • Proven ability to build relationships including the ability to work effectively as a member of a small team, as well as the ability to communicate clearly both verbally and in writing to a wide range of stakeholders, both internal and external. 
  • High level written and oral communication skills. 
  • The ability to determine priorities and work under pressure to deliver on competing demands. 
  • The ability to effectively utilise knowledge and resources to ensure the timely delivery in a changing environment, including the ability to effectively manage tasks of competing priority. 
  • Strong project management skills, people management skills, initiative and flexibility. 
 
Essential requirements for this role: 
  • Relevant administrative and/or secretariat experience including a strong working knowledge of the Microsoft Office suite and experience in using associated financial and administrative systems such as TechOne, Content Manager and BoardEffect  
  • The ability to work collaboratively and productively in a virtual environment.  


APS5 Secretariat Officer
Duties:
  • Assist with the end-to-end coordination of committee activities and meeting arrangements including: 
  • organising travel arrangements & meeting logistics 
  • production of meeting schedules & agendas 
  • collation, quality assurance and distribution of meeting papers and minutes 
  • drafting ‘housekeeping’ agenda papers 
  • maintenance of committee records including conflict and decision registers, action lists and financial records. 
  • providing related support to the chair, members and contact officers of various committees as well as senior MDBA officials and program leads. 
  • Build and maintain positive working relationships with other staff in the organisation and other agencies through effective communication, collaboration and issues management. 
  • Contribute to continuous improvement initiatives to strengthen and streamline secretariat practices, ensure compliance with governance and quality protocols, and successfully deliver secretariat milestones and outcomes. 
  • Manage key administrative, procurement and financial functions within the Secretariat. 
 
Capabilities: 
  • Strong written and verbal communication skills including the ability to prepare and format formal documents to meet quality standards 
  • Proven ability to build relationships with internal and external stakeholders including the ability to work effectively as a member of a small team 
  • The ability to determine priorities and be flexible, show initiative, remain composed and respond quickly when situations change 
  • Ability to identify and solve problems, and provide sound advice to the Director on the business and organisation of meetings 
  • Display sound judgement in managing relationships with senior leaders

What's on Offer?
  • Position located in ADELAIDE AIRPORT or MURRY BRIDGE
  • APS5 $54.00ph + super APS6 $60.00 to $65.00ph + super depending on Experience
  • Temporary contract for 6 months, with possibility to extend
  • Standard Hours or work - Monday to Friday, 8:30 am till 5:00 pm
