Our Federal Government client is seeking to engage a APS5 Provision of a Assistant Contract Manager/Contract Administrator on a contract for 12 months with potential extension.

About the Role:

The Department requires additional resources to undertake Contract Management and administration activities relating day to day Vendor Management functions.

The preferred candidates will support the Vendor Management Team to ensure the effective delivery of goods and services and value for money for the Department. They are required to maintain the highest levels of integrity in their interactions with internal and external stakeholders and thoroughly assess, report and mitigate issues relating to probity according to departmental procedures.

Candidates will have sound knowledge of relevant legislation, frameworks and policies and the contracts they assist in managing. They undertake contract management governance processes and engage continuously with vendors and stakeholders to support communication, productive working relationships and favourable outcomes for the Department.

APS5 Assistant Contract Manager/Contract Administrator review contracted services and documentation to ensure correct supply, charges and payments and to monitor and provide data on contract performance. They coordinate post contract evaluations to promote continuous improvement in contract management processes.

Duties and Responsibilities

Duties will include, but not limited to:

  • Review procurement and contract documentation to identify deliverables, standards, timeframes, milestones, costs and uncertainties.
  • Review service provider plans, and complete due diligence, including addressing start up requirements, insurance, indemnities, warranties and conflicts of interest.
  • May assist with the preparation of contract management plan.
  • Support the establishment of governance arrangements and mechanisms, including probity assurance, in line with industry standards and departmental frameworks and legislation.
  • Provide support for contract administration, including issuing notices, preparing invoices, conducting invoice verifications and payments.
  • Conduct and maintain contract asset and resource inventory.
  • Monitor the performance of contracted service providers in accordance with contract management plans to ensure effective delivery of services.
  • Conduct scheduled service delivery meetings and performance validations.
  • Develop and maintain strong and cooperative working relationships with suppliers, business areas and stakeholders, taking into account the need for probity and ethical behaviour.
  • Verify invoices and check consistency in charging processes.
  • Identify and record substantiation of service delivery.
  • Conduct goods receipting and accounts payable activities, ensuring accurate use of General Ledger codes.
  • Seek appropriate delegate approval in accordance with financial legislation and policy.
  • Maintain contract management financial records according to legislative requirements and departmental policy.
