Our Federal Government client is seeking to engage an APS4 Executive Assistant Non-ongoing, contract for 12 months or S26 temporary transfer.

Position Overview

Duties & Responsibilities:
You will provide comprehensive administrative support to Senior Executives, by undertaking a wide range of duties which may include:
  • performing ‘front of office’ support functions for each Branch, including greeting visitors, receiving and responding to phone calls, emails and general correspondence
  • diary management and coordination including scheduling appointments and organising travel
  • managing correspondence, including monitoring emails, preparing responses to routine and less complex enquiries; coordinating and tracking ministerial workflow; collating and follow up of information to ensure deadlines are met
  • providing high quality administrative assistance in collating papers and folders for meetings attended by the Senior Executive that you will assist
  • arranging meetings and organising logistical arrangements (room bookings, refreshments and escorting external stakeholders)
  • liaising with various stakeholders of all levels including the Minister’s Office and providing assistance with general enquiries
  • coordinating and reconciling Senior Executive finances
  • assisting the Divisional executive group as required (monitoring telephones to ensure core business hours are covered)
  • providing other general administrative support functions as required.
Knowledge and experience required:
  • The position has frequent contact with a wide range of internal and external clients. It is essential that the Executive Assistant has a strong customer service focus and the willingness and flexibility to respond to, and assist with, issues and work across a wide range of tasks. Experience in managing a Senior Executive office in the public or private sector or providing high level administrative support in a fast-paced environment, is therefore highly desirable.
Skills and capabilities required:
The successful applicants will have:
  • well-developed organisational and communication skills with the ability to work across and support multiple work areas
  • attention to detail with the ability to respond positively to changes in business requirements
  • well-developed skills in the use of the Microsoft Office suite of applications as well minute taking
  • the ability to establish strong working relationships with stakeholders working across different locations and work as a supportive team member
  • the ability to assess information and use good judgement to meet stakeholder needs
  • the ability to act professionally and display the behaviours in line with the APS Values and Code of Conduct.

  • Baseline Vetting or Negative Vetting Level 1
