Our Federal Government client is seeking to engage an APS4,5,6 Executive Assistant on a contract for 5 months with potential extension.
Duties & Responsibilities:
- Manage your Group Head's calendar and provide high-level support to assist them with managing competing priorities.
- Monitor and manage emails and calls by triaging matters requiring action, approval, and review.
- Prepare routine correspondence and coordinate corporate documentation including papers, reports, briefs, and other documentation.
- Arrange travel, accommodation bookings and financial acquittal services for the Group.
- Liaise with internal and external stakeholders on behalf of your Group or Group Head.
- Work collaboratively with other Executive Assistants and the broader department.
- Strive for continuous improvement of the Group Head's office performance by using efficient and practical administration processes and systems.
- Provide secretariat support where required including scheduling meetings, taking minutes and preparing meeting papers.
- Assist with onboarding of new starters and exit process for departing staff.
Skills and Knowledge Required: - Leadership, interpersonal and people management skills in a dynamic and changing Strong organisation and problem-solving skills, including the ability to manage one's own workflow and priorities.
- Strong attention to detail, with the ability to take responsibility for accurate completion of work.
- Strong interpersonal skills including the ability to establish and maintain working relationships with stakeholders at all levels and to work within and contribute to a team
- Excellent verbal and written communication skills.
- Sound judgement, integrity and discretion, including the ability to maintain confidentiality and privacy.
