About the role:


The APS4 Executive Assistant is responsible for providing professional support to our senior executives. You will be a key problem solver, identifying issues and resolving them quickly with innovative solutions. Additionally, you will be the first point of contact for your senior executive and your ability to build rapport and deliver a great client experience through every interaction will be highly valued.
 
Responsibilities may include but are not limited to:
 
  • Provide daily guidance on priority meetings, emails and actions
  • Escalate urgent matters for attention and response
  • Track follow-up on action items to ensure deadlines are met
  • schedule of meetings and forward planning (including management of conflicts)
  • Book venues for meeting and organising/assisting with the use of collaboration tools and web-based communication platforms
  • Draft replies to less complex correspondence
  • organise travel arrangements
  • Prepare logistics and completing meeting papers (electronic or in hard copy)
  • Manage the flow of correspondence and documents
  • Maintain office and document security.
 
The ideal Candidate:
  • Is highly motivated with the right skills and aptitude to provide professional support in a dynamic office environment
  • Is proactive in anticipating the needs of senior executives, takes ownership, applies sound judgment and makes reasonable decisions
  • Prioritises and responds to competing and often urgent requests in a professional and efficient manner, while maintaining high work standards and accuracy
  • Builds cooperation and overcomes barriers to information sharing, communication and collaboration
  • Confidently uses, and supports others to use, digital systems and tools such as the Microsoft suite and web-based communication and collaboration tools effectively and efficiently
  • Displays discretion and handles confidential and sensitive information appropriately.
MANDATORY
  • Excellent written and oral communication skills, and proficiency in the use of IT systems including Microsoft Office.
  • Demonstrated commitment to ongoing professional development.
  • Current Police Check, o ability to obtain one.
