Our Federal Government client is seeking to engage a APS3 Administration Officer - Front Desk for 12 month assignment with potential extension in Elizabeth SA.

The Administration Officer - Front Desk will provide the first point of contact for visitors within the office and provide high quality professional, friendly and respectful management of telephone enquiries, reception duties and appointment/scheduling processes. This role requires an enthusiasm for frontline customer service tasks.
You will:
  • Be part of a team responsible for the smooth and efficient operation of the regional site office.
  • Be responsible for a broad range of office administration and support duties including executive assistant support to all NDIA staff where appropriate.
  • Have an eye for detail and an ability to thrive in a constantly changing environment.
    Responsibilities include:
  • Provide administrative support to the regional site team.
  • Management of email and appointments / calendar system for local office and multiple staff.
  • Provide front of house / reception support for the local office.
  • Ensure visitors are aware of emergency protocols and exits awareness on arrival.
  • Coordinate appointments with the use of Agency office facilities and ensure these facilities are neat and appropriately prepared for use.
  • Book and acquit all office travel and fleet management and coordinate credit card acquittal requirements.
  • Accurately enter initial participant details into the NDIS IT system.
  • Receive and record complaints and other feedback in the Agency data base
  • Provide information about mainstream/disability services as part of general enquiries to the office.
  • Assist the Office Manager with various administrative duties when required.
  • Coordinate and organise executive meetings and community forums where necessary.
  • Undertake a range of data entry responsibilities.
  • Research best value for and assist with the procurement and purchasing of small plan components.

    Skills and Personal Attributes
  • Experience in data entry with a high level of accuracy and timeliness.
  • Experience in, receptionist duties, Executive Assistant duties, travel management and coordination of the use of office facilities.
  • Understands how to work collaboratively with a network to support the delivery of consistent, quality client service.
  • Event organising including establishment of stakeholder databases and liaison with organisations and venues about community events and functions.
  • Communication skills with well-developed interpersonal skills and experience in preparation of locally based newsletters covering local activities.
  • Ability to work with flexibility within a team and to communicate effectively with people at all levels to ensure the smooth, efficient and on time operation of the office.
  • Ability to respond to and prioritise competing and often urgent requests in a calm and efficient manner.
  • A high level of proficiency in Microsoft Office software specifically with Outlook, Word, and PowerPoint - particularly the management of multiple diaries.

    What's on Offer?
  • Position located in Elizabeth SA
  • APS3 $36.27/ph + super
  • Temporary contract for 12 months, with possibility to extend
  • Standard Hours or work - Monday to Friday, 8:30 am till 5:00 pm
