Our Federal Government client is seeking to engage a Project Support Officer on a contract for 6 months with potential extension.

About the Role:

The Administrative Admin Support Staff Officer (ASSO) is accountable to the XO GPS under broad direction to perform and achieve complex procedural, operational, administrative and business support work within the Directorate. They will be required to have or quickly acquire the knowledge of the agency structure, government decision-making and agency's mission and policy requirements as they relate to the Directorate of GPS and JSSD.

The ASSO will be required, at times, to work autonomously and will be accountable for the achievement of outcomes of their work. They will exercise both initiative and judgement and will have exceptional organisational skills. They will provide detailed administration support and contribute to program and project management.

The individual will be required set work priorities and manage workflows. They are expected to be capable of contributing to building team capability and will have a considerable level of stakeholder engagement. They will be required to liaise with stakeholders in relation to complex issues. They will be required to identify, anticipate needs and respond to stakeholders' questions and expectations to achieve work unit, and agency outcomes.

Duties & Responsibilities:

The duties of the ASSO in JSSD include the following:

  • Coordinate administrative and business support activities for a team and other work areas, identify risks and determine appropriate course of action to meet stakeholder needs.
  • Provide a high level of administrative support to the Director and Assistant Director and XO GPS including but not limited to:
    • Diary and email management including prioritising and scheduling meetings, monitoring and actioning emails as required, travel, itinerary and accommodation, as well as telephone contact.
    • Arrange and coordinate meetings with internal and external stakeholders and coordinate room bookings, audio visual equipment and other meeting resources as required.
    • Prepare and manage meeting materials, correspondence, presentations and minutes, including the administration of critical, confidential and sensitive information.
    • Prepare agendas and meeting material as required. Record meeting outcomes and decisions for internal meetings.
    • Gather and collate information for the preparation of briefing material and reports as requested.
    • Arrange and coordinate high profile events such as conferences, workshops and book launches
    • Coordinate travel for team members
    • Oversee all finances
    • Event coordination
  • Accountable to perform complex procedural, operational, administrative and business support activities and tasks that support the delivery of outcomes across agecny. Strong writing and oral communication skills with attention to detail is critical.
  • Identify and interpret relevant, policies, strategies, business and team requirements and apply these to the work area.
  • Apply the skills, knowledge and experience necessary to provide advice and services for a range of complex corporate, administration and business support activities.
  • Engage and negotiate with stakeholders on complex issues to achieve business outcomes.
  • Work collaboratively, build and sustain effective relationships and provide constructive feedback.
  • Take the initiative to progress work to meet business objectives, provide advice and guidance on more complex issues.
  • Resolve problems and implement alternative courses of action.
  • Accountable to develop and implement procedural, operational, corporate, administrative and business support documentation consistent with business requirements.
  • Assist with the day to day administration of the directorates' event and activates

Skills & Experience:

  • This position requires an individual with the essential skills of high level organisation, coordination and management expertise.
  • Project and event management experience is desirable.
  • Prior secretariat experience or project/event management roles are desirable.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline security clearance.
