We are currently seeking for an Administrative Support Officer on behalf of our client during a very busy period over the next 3 months in their Examinations and Results Department.

The Administrative Support Officer, Scheduling Services undertakes the efficient, accurate and timely collection and processing of data in accordance with published timelines and the University's policies and procedures. The position holder also assists with training and assistance for key stakeholders. They provide a high level of administrative support to the Coordinator Timetabling & Room Bookings or Coordinator Examinations & Results, to ensure the efficient operation of these Sections which revolve around scheduling activities.

About the role:

  • Utilise documented policies, procedures, timelines and systems in accordance with correct business practices to complete administrative requirements.
  • Work to provide high level administrative support according to published timelines and procedures in all section functions encompassing scheduling and release of timetables, examination delivery, results release and ad-hoc bookings.
  • Contribute to data collection and quality assurance, utilising high level knowledge and skills to provide instruction, advice and guidance to stakeholders.
  • Contribute to the timely and accurate publication and dissemination of timetables/timelines, processes, policies and user-friendly information and advice for stakeholders.
  • Respond to enquiries, proactively and communicate with external stakeholders, University staff and students to provide advice and assistance, and effectively resolve issues on scheduling policies and procedures.
  • Contribute to ongoing review and development of effective processes, procedures, policies, and timelines for all section functions.
  • Maintain currency with and utilise best-practice and latest-release software systems to complete Timetabling, Examinations, Room Bookings and Results practices; to collate feedback and statistical data as required; and to contribute to the development of end-of-cycle reports.
  • Contribute to quality assurance processes and the development and maintenance of accurate and up-to-date documentation of all policies, timelines and procedures for the Section.

About You:

  • Well-developed customer service skills, with demonstrated ability to produce accurate written work, negotiate with a wide range of people and exercise diplomacy, initiative and flexibility.
  • Well-developed IT skills, including Microsoft office suite, corporate and software systems and web management.
  • Strong analytical and problem resolution skills, with the ability to work across multiple functions to achieve effective outcomes in a timely manner and achieve targets.
  • Demonstrated ability to identify opportunities for process improvement and design system improvements to improve customer service or procedures.
