Our Federal Government client is seeking to engage a Administration Support Officer on a contract for 3-4 months with potential extension.

Position Overview

Duties may include some or all of the following:

  • provide administrative support to the team and/or work area
  • work with local leaders to build staff capability through coaching and training
  • provide information and draft replies to straightforward queries about procedures, guidelines and policies
  • provide advice and procedural guidance to staff and stakeholders on routine matters
  • perform financial administration tasks including money handling, receipting, payment of invoices and associated processing, reconciliation of data, and contributing to financial reporting
  • verify and reconcile payments and invoices
  • assist in the preparation of draft policy documentation for review by senior staff
  • assist in the coordination of responses to requests for information about local operations and corporate reporting requests
  • provide executive support including travel arrangements, diary and appointments, and secretariat functions
  • ensure compliance in work area with established agency procedures and relevant frameworks
  • coordinate the provision of building property services, information technology, telephony services, security, petty cash management and asset and equipment maintenance and liaise with service providers
  • coordinate local work area procurement and assist with contract administration
  • build rapport and maintain stakeholder relationships, and represent the team or work area in relevant forums and committees assist in drafting documentation for review by senior staff
  • assist in the preparation of periodic reports, incorporating the completion of end of month journal processing
  • prepare staffing reports and assist with the coordination of recruitment, staff movements, staff rosters, phone and training schedules
  • assist with research and analysis including preparation of draft reports
  • maintain and use databases to collate and present data and contribute to the development of reports
  • coordinate stationery and equipment requirements and the distribution of stores or supplies
  • assist with the coordination of information technology and telephony services
  • check the work of administrative staff to monitor accuracy and quality of work against established performance standards
  • participate in quality assurance activities and check adherence with relevant procedures and legislation
  • provide local fleet management in accordance with agency guidelines
  • exercise delegations appropriate to role in accordance with legislation and guidelines

Knowledge required

Knowledge and understanding of:

  • administrative and records management standards, protocols, systems and procedures
  • legislation, policies, procedures and information management requirements relevant to the work area
  • the agency's privacy, ethics, workplace health and safety and security protocols
  • relevant business systems and tools.
