Reporting to the Manager Operations - Regions, the Administrative Officer will be responsible for providing administrative support to Operations Division regional office.

Coordinate the efficient day to day administration of the regional office under the guidance of the Administrative Coordinator including:
o Preparation of invoices and accounts payable including use of FinanceOne for data input and reconciliation of payables/receivables
o Coordinate purchasing, travel and maintenance of assets
o Maintain the required records and update registries as required.
o Provide administrative assistance to other divisions operating out of the office as required.
o Maintain outgoing mail register and process daily mail.
o Manage meeting room bookings for meetings/events occurring within the office.
o Co-ordinate repairs, maintenance and access to external service providers and liaising with Building Manager and Property Services as necessary.
o Provide general office support including ordering and maintaining office stationery, computer equipment and kitchen supplies.
o Provide front counter, phone support and advice to customers.

Coordinate and assist with:

o Examination schedule and payments for Near Coastal oral examination blocks

o Administration and logistics for STCW oral examinations for the Tasmanian/South Australian/Karratha office/s including liaison with tertiary institutions and customer

o Verification process to confirm eligibility of customer to attend the examination along with collation of relevant documents for examiner.

People who are successful in this position must have the following pre-requisites:
* Proven background within an administrative support function.
* Ability to use Microsoft suite of office applications.
