We are partnering with a body of State Government to engage an Administration Officer to provide assistance with administrative functions in Melbourne.

THE ROLE

Reporting to the Operations Manager, this Administration Officer role will sit within the Medicine, Nursing and Health industry.

Working full-time on a 4 months contract, you will be responsible for providing administrative functions to support the community and comply with legislative requirements and its overall operation.

Key Responsibilities:

  • Demonstrate compliance and a thorough understanding of the current Therapeutic Goods Administration guidelines and the Code of Good Manufacturing Practice - Human Blood and Tissues.
  • To manage and coordinate the initialisation and updating of Tissue Supply Agreements for all hospitals.
  • To manage and coordinate the updating of MOUs for all participating hospitals in the Living Donor Bone Program (LDBP), the Living Donor Heart Program (LDHP) and DonateLife, ensuring currency and compliance with requirements.
  • To capture and record all shipments and sales details of allografts for the purposes of providing a complete and accurate sales journal to the finance team to enable invoicing of customers.
  • To liaise with all Authorised Sales Representatives for the purpose of pursuing purchase orders, allograft utilisation records and consignment updates and consignment inventory checks.
  • To manage and be responsible for the entry of tissue utilisation information in the database, and following up unreturned utilisation records, maintain and update the database with required information relating to donors, recipients, surgeons and hospitals.
  • To be responsible for the recovery of overdue payments. This includes liaising with Finance monthly to determine outstanding debtors, then identifying contacts and managing the process to have debts paid.
  • Ordering courier services and monitoring these services to ensure timely collection and return of materials, tissues, blood/tissue samples, collection boxes and paperwork.
  • Provide Executive assistance to the Head and Managers.
  • To assist with the compilation of inventory data for both statistical analysis and inventory management.
  • To participate and support the organisation commemorative events including liaison with external and internal stakeholders.


WHO WE ARE LOOKING FOR

To be successful for this role:

  • Proven ability to provide a broad range of administrative support functions and to be conversant with IT-linked office equipment and other platforms.
  • Knowledge of the Code of Good Manufacturing Practice for blood and tissues and application of this knowledge to all aspects of work is an advantage.
  • Medical or Health background is not essential but highly regarded.


ABOUT YOU

  • Good knowledge of the English language with experience in formatting, collating, and proof-reading corporate documents. Basic knowledge of accounts is highly regarded.
  • Well-developed interpersonal and communication skills, including a professional telephone manner and an ability to deal sensitively with bereaved family members, as well as professionally with other stakeholders.
  • Demonstrated ability to be responsible and accountable, with an ability to adhere to set guidelines and work instructions, and to identify and suggest improvements to local work practices, and then assist with the implement these where appropriate.
  • Good computer knowledge with the ability to operate computer software such as Microsoft Office programs.
