Our client is seeking to engage an Office and Team Administration Assistant on a contract for 6-9 months.

Position Overview

This position provides general support to the Tender Team and is responsible for all coordination and organisation of the Bid Office. This position ensures that the day to day operations are well organised and efficient in accordance with relevant policies and procedures.

Our Ideal candidate will have:

  • Ensures compliance and adheres to systems and standards where relevant, including Office Covid protocols and requirements
  • Manages and coordinates the bid office, including Covid protocols, supplies, lease management and cleaning.
  • Orders and manages all office supplies, including printing supplies, stationary, kitchen and all other supplies.
  • Organises and maintains office appearance (signage, etc.)
  • Organises and manages office cleaners and security company.
  • Manages the registration of office floor security passes.
  • Assists the Project Team as required with any administration issues regarding the day to day operations of the Bid Office.
  • Coordinates office/management functions as required
  • Provides general admins support to the Bid Team as required.
  • Implements and maintains procedures/office administrative systems.
  • Ensures that files and records are handled appropriately to ensure the security and confidentiality of their contents.
  • Assists with the onboarding of new employees as required including office desk allocation.
  • Prepares reports and/or documentation as required and directed.
  • Maintains effective liaison and communication with all levels of bid management team, visitors and external stakeholders.
  • Liaises with Head Office personnel as required.

Our Ideal candidate will have:

  • Preferably 10 years' related experience
  • Demonstrated ability to work effectively with others
  • Advanced skill with MS Office suite of applications Word, Teams and Outlook
  • Excellent and clear verbal and written communication
  • Ability to communicate effectively at all levels
  • High attention to detail
  • High customer focused, team oriented, accountable and results driven
  • Effectively develops and manages own work schedule to ensure tasks are completed to quality and within required timeframes
  • Strong administrative and time management skills
  • Ability to operate with minimal direction, prioritise work requirements and effectively manage time
  • Good at multi-tasking and demonstrates sound judgments, including balancing competing issues
  • Must be energetic with a positive 'can do' attitude
