    We are looking for a Administration Officer to provide to provide a high level of administrative support in Bendigo.

    We're looking for an experienced and reliable Administration Officer to provide administrative and office management support for Bendigo and the Central Victorian Region.
    The role encompasses administration duties, office management duties, financial management support (invoice receivable and processing), and other general office and administration duties. You will be working full-time within a fast-paced environment and no two days will be the same!
    Key Responsibilities:
  • Answer telephone and direct calls to appropriate personnel, take accurate message and pass onto the appropriate personnel in a timely manner
  • Collect incoming mail from PO box, date stamp and record ALL incoming and outgoing mail, distribute incoming mail to recipients, register and postal of outgoing mail
  • File and archiving documents
  • Attend and take minutes of meetings and distribute to attendees in a timely manner
  • Maintain office calendars and book meetings
  • Organise staff medicals and order uniforms
  • Provide administration support to senior personnel
  • Track purchase orders / delivery docket / invoices for goods ordered and receipting of items and chemical deliveries
  • Send invoices to accounts department for processing and file invoices at site
  • Maintain the invoice tracker to record all purchasing activities including delivery dockets and mail deliveries, client correspondence and accounts
  • Support regional safety, health, environment and quality functions
  • Manage contractor insurance records and site induction records
  • Coordinating the monthly reports and invoices for clients

    To be successful for this role you must have:
  • Ability to work under pressure and meet deadlines.
  • Excellent time management & organisational skills.
  • Exceptional attention to detail and high level of accuracy at all times.
  • Excellent verbal and written communication skills in order to liaise with clients and draft correspondence and documentation; advanced level of spelling and grammar.
  • Accounts Receivable/Payable experience in essential

  • Qualification in Admin/Office management is desirable.
  • Previous experience working in an office environment.
  • Quality systems experience preferred but not essential.
  • Excellent verbal and written communication.
  • Intermediate level experience with Microsoft Suite.
