Our Federal Government client is seeking to engage an APS5 Administration Officer on a contract for 6 Months, with potential extensions of 2X 6 months.

Position Overview

Within the administration function, an APS5 Administration Officer is accountable under routine direction, to perform and achieve straightforward procedural, administrative and business support work. They are required to have a high level understanding of, and compliance with, relevant legislative frameworks, government decision making and Defence's mission and policy requirements.

An APS5 Administration Officer will be accountable for organising their workflow and making independent decisions relating to their area of responsibility. They will interpret and provide advice within the administration function based on legislation, policy and procedures. They will undertake specialist research and analysis, conduct reviews, assessments and perform procedural, clerical, administrative support work to achieve results.

The successful applicant will have well developed communication and stakeholder engagement skills. The APS5 will have considerable stakeholder engagement and will be required to identify relevant stakeholders' expectations and deliver services. Employees may have considerable public contact in the role and may be required to communicate with and provide advice to a wide variety of customers and external stakeholders.

Duties & Responsibilities:

  • Communicate with, respond and provide advice to a range of stakeholders relating to Member and Family Transition Seminars.
  • Seek quotes, book venues, coordinate catering and audio visual requirements for face to face events.
  • Oversee/manage the daily tasks of staff within the team.
  • Draft high quality resources and guidance materials for a range of stakeholders.
  • Draft Standard Operating Procedures for internal use.
  • Manage a group mail box and respond/delegate complex enquires.
  • Regular use of excel spreadsheets to track correspondence, accurately capture and assess data.
  • Develop excel spreadsheets to assist with the coordination of seminars.
  • Regular use of records management system 'Objective' including creating file structures and storing correspondence.
  • Regular use of Human Resource Information Management system 'PMKeyS' to locate personal and sensitive information.
  • Regular use of training database 'CAMPUS' to manage the administration of seminar registrations.
  • ADHOC administrative tasks as required.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline clearance.
