The Opportunity

Chandler Macleod is looking to engage an Administration Officer for a contract term of 11 months with a well-established NSW Government department. This role will be based in Parramatta.

Role Title: Administration Officer

End Date: 30/06/2023

Location: Parramatta, NSW / Remote

Pay Rate: $49 - $54/hr plus super

Job Specification

Provide a broad range administrative and coordination activities to support the development and delivery of key strategic projects. The role also liaises with internal, cross agency and inter-jurisdictional committees to organise meeting logistics, finalising agendas and papers.

In this position, you will be required to perform but are not limited to the following tasks:

  • Provide a high level of administrative and project support to the leadership team, including preparation of correspondence, reports, and presentations.
  • Work closely with the Manager to improve administrative and business processes and systems for the Unit to ensure an efficient flow of work.
  • Assist in the co-ordination of committee and working group activities and projects, liaising with the Manager to prioritise and action briefing papers and submissions, drawing attention to urgent matters which require immediate attention.
  • Assist project teams to complete tasks and implement project plans, including collating documents and records regarding relevant issues to ensure projects comply with agreed project methodologies and that agreed outcomes are achieved.
  • Undertake basic research and analysis in assigned project areas and contribute to the preparation of project briefs and correspondence to support informed decision making and planning.
  • Communicate with relevant stakeholders to provide updates regarding project status and implementation issues.
  • Act as a first point of contact, responding to enquiries, and escalating and redirecting issues as required, to ensure the provision of accurate and timely information.

Key challenges

  • Developing and maintaining collaborative working relationships across committees and working groups, to ensure cohesive and consistent work practices and procedures.
  • Delivering multiple project and forums/roundtable support activities in line with agreed standards and objectives, given tight deadlines and competing demands and priorities
  • Balancing conflicting priorities and negotiating workable timeframes with staff across the Divisions seeking administrative support from the role.
